Terms & Conditions
By accepting a quote, booking a callout or paying any invoice from JFCS Refrigeration, you agree to the following terms.

1. Quotes & Pricing
1.1 All work is charged on an hourly basis unless a written fixed-price quote has been issued.
1.2 Standard callout is £120 and includes the first hour on site. Subsequent labour is charged at our current hourly rate. Out-of-hours rates apply on evenings, weekends and bank holidays.
1.3 Parts and materials are quoted to the Customer for approval before they are ordered or fitted. Specialist or non-stock parts may require payment before ordering.
1.4 Quotes are valid for 30 days from issue unless stated otherwise.
1.5 Variations: Any work outside the original scope will be priced separately and requires written approval (email or text is fine) before being carried out.
2. Deposits
2.1 For jobs with a total value over £5,000 (e.g. new installs, multi-day projects), a 50% deposit is required before work commences or parts are ordered.
2.2 The deposit is non-refundable once parts have been ordered or labour scheduled.
3. Payment Terms
3.1 Invoices are payable within 14 days of the invoice date.
3.2 Payment by bank transfer to the account details shown on the invoice. Card payments may be accepted via Zoho Invoice — any processing fees may be passed on.
3.3 The Customer agrees that invoices are deemed accepted unless disputed in writing within 7 days of receipt.
4. Late Payment
4.1 Where the Customer is a business, JFCS reserves the right to charge interest and recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998, including:
- Statutory interest at 8% above the Bank of England base rate on overdue amounts, accruing daily from the day after the due date;
- A fixed compensation fee of £40 (invoices under £1,000), £70 (£1,000–£9,999.99) or £100 (£10,000+) per overdue invoice;
- Reasonable costs of recovery above the fixed fee (e.g. debt collection or solicitor's fees).
4.2 JFCS may suspend further work and withhold service certificates, F-Gas paperwork or warranty cover until all overdue amounts are settled in full.
5. Warranty
5.1 New installations are warranted for 12 months from the date of commissioning, covering JFCS workmanship.
5.2 Replacement parts fitted by JFCS are warranted for 6 months from the date of fitting, covering JFCS workmanship. Manufacturer warranties on parts apply in addition where offered.
5.3 The warranty does not cover:
- Damage caused by misuse, neglect, accident, power surges, flooding or third-party interference;
- Equipment that has been modified, serviced or repaired by anyone other than JFCS;
- Consumables (filters, gaskets, refrigerant top-ups due to leaks outside our workmanship);
- Failures caused by lack of routine maintenance.
5.4 Warranty claims must be raised in writing within the warranty period and supported by the original invoice.
6. Cancellation
6.1 The Customer may cancel a booked job at no charge if cancellation is received at least 24 hours before the scheduled arrival time and before any parts have been ordered.
6.2 If cancellation occurs after parts have been ordered, the Customer is liable for 50% of the total quoted job value, plus the full cost of any non-returnable parts.
6.3 If the engineer has already travelled to site, the full callout fee is payable.
7. Site Access & Safety
7.1 The Customer is responsible for providing safe, reasonable and timely access to the site and equipment, including parking, keys, alarm codes and any required permits.
7.2 The Customer must ensure the working environment complies with health & safety requirements (lighting, ventilation, isolation of services, working at height arrangements where applicable).
7.3 If the engineer cannot safely access or work on the equipment, the callout fee remains payable and any further charges (return visits, additional time) will apply.
8. Disposal of Old Equipment
8.1 Removal and disposal of old equipment is not included in standard pricing unless explicitly quoted. Where included, disposal will be carried out in accordance with WEEE and F-Gas regulations.
8.2 Refrigerant recovery from end-of-life equipment is performed by JFCS under our F-Gas certification and will be itemised separately.
9. F-Gas & Regulatory Compliance
9.1 JFCS is fully F-Gas certified and complies with the EC Regulation 517/2014 (and UK equivalents) on fluorinated greenhouse gases.
9.2 Where statutory leak checks, record-keeping or equipment logbooks are required, the Customer is the operator of the equipment and remains legally responsible for keeping these records up to date. JFCS will provide the necessary certificates and logbook entries for work carried out.
10. Liability
10.1 JFCS's total liability under any quote, job or contract is limited to the value of the invoice for the work in question.
10.2 JFCS shall not be liable for:
- Loss of stock, produce, profit, revenue, contracts or business;
- Loss arising from equipment downtime;
- Indirect, consequential or special losses of any kind;
- Pre-existing faults or system design issues not introduced by JFCS;
- Delays caused by parts availability, suppliers, weather, traffic, or other circumstances beyond our reasonable control.
10.3 Nothing in these terms limits JFCS's liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded.
10.4 The Customer is strongly advised to maintain appropriate stock loss and business interruption insurance on cooled goods.
11. Title to Goods
11.1 Title in any parts or equipment supplied by JFCS does not pass to the Customer until payment is received in full.
11.2 JFCS reserves the right to recover any unpaid parts or equipment in the event of non-payment.
12. Data & Privacy
12.1 Customer details are held and processed in accordance with UK GDPR, used only for the purpose of providing services, invoicing and statutory record-keeping (e.g. F-Gas logbooks).
13. Disputes & Governing Law
13.1 Any dispute will first be addressed by good-faith communication between the parties.
13.2 These terms are governed by the laws of England and Wales and subject to the exclusive jurisdiction of the courts of England and Wales.
